When the Contract Ends… Do You Keep Helping?

One of the biggest boundary issues I see in this industry doesn’t show up during onboarding.
It shows up after the management agreement ends.

I had a client recently offboard a large property. The owner was friendly. The new manager (who was charging cheaper fees) was inexperienced. And naturally, my client wanted to help ease the transition for this long term client.

But here’s the thing: “Being helpful” can turn into unending, unpaid work.

Why You Need a Clear Offboarding Policy

Having a propert offboarding policy sets expectations that preserve goodwill and prevent resentment.

I’ve seen long-term property management relationships end on a bad note, and not because anything went wrong, but because the client assumed the manager would stay involved indefinitely after the contract expired.

They’ll ask:

“Can you pull a vendor invoice for me?”
“Do you have a record of that last inspection?”
“Where do I find this tenant’s deposit info?”
“Aren’t you going to do all of the repairs after my tenant moves out?” even though the management agreement terminated at the same time as the lease.

Even if you want to be helpful, every “quick question” keeps your team anchored to a property you’re no longer paid to manage.

So here’s what I do:

The Offboarding Packet

I created a 12 page document that I give to owners when we’re winding down a relationship. It includes:

Termination date & scope of access

What support we will and won’t provide after that date

Transition logistics (docs, software, tenant communication)

Vendor policies

Final accounting procedures

What happens if they want to re-engage us later

It’s not legalese. It’s clear, helpful language that protects both sides.

It also saves relationships and reputations.

Protect the Ending

A sloppy offboarding creates stress and kills referrals.

The goal is to exit with enough grace and clarity that they send you your next lead.
